1. What BureauFlow Is

BureauFlow is a payroll bureau management platform — a CRM built for UK payroll professionals. It brings a bureau’s clients, HMRC deadlines, checklists, and pension obligations into one dashboard, sitting alongside whatever payroll engine the bureau already uses.

BureauFlow does not calculate payroll, file tax returns, or submit information to HMRC. It manages the practice around those activities.

2. Core Capabilities

Client management — every client, PAYE reference, and pension status in one place
HMRC deadline tracking — RTI, FPS, and EPS deadlines calculated automatically from pay dates
Payroll checklists — templates for each payroll cycle, including year-end and new starters
Pension and auto-enrolment tracking — AE status, postponement, and re-enrolment
Bureau metrics — revenue, on-time rate, and client health across the practice
Penny AI assistant — an optional feature that answers questions across the bureau’s data in plain English
Audit trail — changes to client records and settings are logged automatically

3. Access and Tiers

The Service is browser-based with nothing to install, accessed at app.bureauflow.co.uk with self-serve signup. A Free tier is available for individual consultants, and paid tiers serve bureaus and organisations — see Pricing and the Terms of Service for details.

4. Hosting and Data

The Service is hosted on cloud infrastructure with the primary database located in the EU (Frankfurt). Data is encrypted in transit and at rest, with encrypted daily backups. Details of the providers we use are in Section 5 of the Privacy Policy, and our security measures are described on the Security page.

5. Support

Support is provided by email at support@bureauflow.co.uk. We aim to respond promptly.

6. Updates and Maintenance

The Service is updated regularly as improvements and fixes become available.
